✨ Golden Knight Pathfinders Club — Terms & Conditions of Membership

By joining the Golden Knight Pathfinders Club of London Ghana SDA Church, members and parents/guardians agree to the terms below.

1. Purpose of These Terms

These Terms & Conditions outline the responsibilities, expectations, rules, and commitments required for active membership in the Golden Knight Pathfinders (GKP).
They ensure a safe, structured, spiritual, and enjoyable environment for all Pathfinders.


2. Membership Eligibility

To become a member of the Golden Knight Pathfinders, the following conditions must be met:

  1. The applicant must be aged 10–18, or qualify for the club’s official Pathfinder age range.

  2. The applicant must have permission from a parent or legal guardian.

  3. A registration form must be completed accurately and submitted.

  4. Payment of any applicable fees, such as uniforms, books, or event costs, must be made when required.

  5. The member must agree to follow Pathfinder standards, Christian values, and club policies.


3. Code of Conduct

All members are expected to uphold the values of the SDA Pathfinder Ministry, including:

  • Respect leaders, fellow Pathfinders, church property, and the community.

  • Show courtesy in speech, behaviour, and attitude.

✔️ Discipline

  • Attend meetings on time

  • Wear the correct uniform when required

  • Follow instructions from leaders

  • Maintain proper behaviour during all activities

✔️ Christian Character

  • Demonstrate honesty, integrity, kindness, and responsibility

  • Participate respectfully in worship, prayer, and devotions

  • Avoid inappropriate language, behaviour, or media

✔️ Safety

  • Follow health, safety, and safeguarding rules

  • Report any concerns to a leader immediately

  • No bullying, harassment, or physical aggression of any kind

Failure to follow the Code of Conduct may result in disciplinary action.


4. Attendance & Participation

Members are expected to:

  1. Attend weekly meetings regularly

  2. Participate in drills, Bible studies, honours, and outreach activities

  3. Attend campouts, events, and ceremonies when possible

  4. Notify leaders when absent

Consistent non-attendance without communication may lead to removal from the membership list.


5. Uniform Requirements

Members must:

  • Wear the official Pathfinder uniform as instructed

  • Keep the uniform clean, neat, and properly presented

  • Wear club-specific items (necktie, sash, scarf, badges) correctly

  • Avoid altering the official design

  • Purchase uniform items through approved channels, if required

Failure to meet uniform standards may affect participation in formal events.


6. Behaviour During Events & Activities

During meetings, church programs, camps, trips, and competitions, members must:

  • Stay with the group unless given permission by a leader

  • Follow safety guidelines

  • Show courtesy and cooperation

  • Avoid dangerous or disruptive behaviour

  • Use devices responsibly (phones may be restricted)

Leaders reserve the right to remove a member from an activity for unsafe or inappropriate conduct.


7. Parents’ / Guardians’ Responsibilities

Parents/guardians agree to:

  • Support their child’s attendance and punctuality

  • Provide necessary uniform items

  • Communicate any medical conditions, allergies, or special needs

  • Respond to messages or notices from leaders

  • Attend meetings when requested

  • Uphold the values of the Pathfinder ministry at home


8. Health, Safety & Medical Emergencies

By enrolling, parents/guardians consent to:

  • Leaders administering basic first aid when necessary

  • Emergency medical treatment by professionals if required

  • Use of disclosed medical information for the child’s safety

Leaders will always act in the best interest of the child.


9. Fees & Payments

Some activities may include costs such as:

  • Uniform purchases

  • Camp fees

  • Transport fees

  • Competitions or trips

  • Honour materials

All fees will be communicated in advance.
Failure to pay may limit participation in certain events.


10. Media, Photos & Video Consent

By joining, members and parents agree that:

  • Club activities may be photographed or recorded

  • Images may be used for church, club, or Pathfinder promotional materials

  • Social media posts will follow safeguarding guidelines

  • No images will be sold or used commercially

Parents may withdraw media consent in writing at any time.


11. Safeguarding & Child Protection

The club follows SDA, regional conference, and UK safeguarding standards.
All leaders are required to:

  • Undergo DBS checks (or equivalent)

  • Maintain strict child protection practices

  • Ensure a safe environment at all times

Violations are taken seriously and will be addressed immediately.


12. Bullying & Harassment Policy

The Golden Knight Pathfinders have a zero-tolerance policy toward:

  • Bullying

  • Cyberbullying

  • Physical intimidation

  • Gossip or social exclusion

  • Emotional or verbal abuse

Any reported incident will be investigated, and appropriate action will be taken.


13. Disciplinary Process

If a member violates these terms, leaders may take one or more of the following actions:

  1. Verbal warning

  2. Written notice to parent/guardian

  3. Temporary suspension from activities

  4. Removal from leadership or honour responsibilities

  5. Permanent dismissal from the club (serious cases only)

All decisions are made with fairness and respect.


14. Membership Termination

Membership may be terminated if:

  • A member repeatedly violates the Code of Conduct

  • A parent or guardian refuses to cooperate with club policies

  • The member’s behaviour poses a risk to others

  • Attendance becomes consistently poor without communication

  • Fees remain unpaid after reminders (when applicable)

Parents will be informed in writing before termination takes effect.


15. Liability

The club, church, and leaders will take all reasonable precautions to ensure safety.
However, participation in activities is voluntary, and members must follow safety rules to reduce risk.

The church is not liable for:

  • Loss of personal property

  • Injuries caused by failure to follow instructions

  • Misconduct by members outside organized activities


16. Privacy & Data Protection

All member information is stored securely and used only for:

  • Administrative purposes

  • Medical or safety needs

  • Event coordination

  • Communication with parents

Data will never be shared with third parties without permission.


17. Changes to Terms

These Terms & Conditions may be updated as needed.
Members and parents will be notified of any changes.


18. Acceptance of Terms

By joining the Golden Knight Pathfinders Club, you acknowledge that:

  • You have read and understood these Terms & Conditions

  • You agree to comply with them

  • Parents/guardians accept responsibility for supporting their child’s membership
